POSITION SUMMARY:

The Administrative Assistant provides essential support and administrative services to the clinic, the therapists, the patients, and their families in a fast-paced environment. This person will be involved in a wide spectrum of tasks including patient customer service, scheduling, data entry, and social media.

Required Skills and Experience:

  • High School Diploma/ GED equivalent
  • Must have excellent customer service skills
  • Must uphold HIPAA compliance.
  • Must demonstrate a strong work ethic, professionalism and willingness to learn.
  • Able to work in a fast-paced and demanding work environment
  • Technologically savvy and familiar with Microsoft Office products including: Google Workspace- Word, Excel

Preferred Experience

  • Spanish speaking
  • 2 + years’ admin support in a medical environment
  • Knowledge about health insurance, pre-authorization, insurance verification, medical terminology.

Essential Functions/Responsibilities (other duties may be assigned):

  • Check patients in and out of appointments 
  • Answer phone and route to appropriate department (billing, admin etc.)
  • Schedule active patients and evaluations (reschedule for cancellations / no-shows) 
  • Collect copays / deductibles due from family at the time of service
  • Complete successful intake process for all new patients (obtaining patient information, checking eligibility & benefits, obtaining doctor’s orders etc.) 
  • Prepare correspondence to doctors and insurance companies
  • Keep notes about pending & current appointments for therapists (parent updates, cancellation reasons, patient’s primary language) 
  • Maintain a patient waitlist for all services. 
  • Other duties as assigned
